Location: Palo Alto

Overview –

This is a great role for an experienced accounts payable professional. We are looking for a person who can take ownership of the accounts payable process in the busy office of a growing, mid-sized architecture and engineering firm. You will also have exposure to other aspects of accounting. We will provide a fun, challenging and dynamic environment. We value someone with a broad knowledge base who is able to work independently.

Principal Responsibilities:

  • Accounts Payable
  • Sort incoming mail
  • Process all invoices received daily
  • Post invoices to correct accounts
  • Separate intercompany items
  • Process weekly check payments
  • Process employee expense reports twice a month
  • Process 1099’s forms annually

Other duties

  • Deposit and Post checks received
  • Provide back-up support for other department activities such as – cash management, invoicing, reporting, ad hoc analysis, and accounting system maintenance
  • Maintain SOP’s and recommend process improvements when necessary
  • Maintain vehicle registrations and insurance
  • Help track company business licenses
  • Assist controller and accounting staff as needed

Qualifications and Attributes

  • Associates Degree in Accounting or Related Field
  • Proven working experience in an Accounts Payable role
  • Highly Detail-oriented and Organized
  • Familiar with Microsoft Excel
  • Ability to meet constant stream of deadlines
  • Ability to work both independently and collaboratively with different levels of employees
  • Experience in Architecture / Engineering / Construction Industries preferred but not required
  • Experience with Deltek Accounting System preferred but not required.

About the Administrative Assistant position

We are looking for a reliable Administrative Assistant who will undertake a broad set of administrative and clerical tasks, such as providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities, particularly making travel and meeting arrangements, preparing reports and maintaining appropriate filing systems. You will have to ensure the efficient and smooth day-to-day operation of our office.

You should have excellent oral and written communication skills and be able to organize your work using tools, like MS Excel and office equipment.

Administrative Assistant responsibilities are:

  • Arrange events, appointments and travels
  • Manage phone calls and correspondence (including email, memos, letters, faxes and forms)
  • Attend meetings and take detailed minutes
  • Participate in the preparation of regularly scheduled reports
  • Organize contact lists and filing systems
  • Meet and support visitors
  • Help clients and company representatives contact each other
  • Review and update office policies and procedures
  • Monitor office supplies and research new deals and suppliers
  • Collaborate with executive and senior administrative assistants to handle requests and queries from senior managers

Administrative Assistant requirements are:

  • Significant experience with office management systems and procedures, as well as with office equipment, such as printers and fax machines
  • Good practical experience with MS Office, particularly MS Excel and MS PowerPoint
  • Strong time management and problem solving skills with the ability to prioritize work
  • Outstanding written and verbal communication skills, with close attention to detail
  • Strong organizational skills with the ability to multi-task
  • Associate’s degree in related field preferred; additional qualification as an Administrative Assistant or a Secretary will be a bonus

Location: Honolulu, Hawaii



Seeking a candidate for a Waterproofing Designer position based in Honolulu. Waterproofing projects include below grade and above grade along with plaza waterproofing.  Coordinate with the designer and contractor to assure work is done according to contract drawings and specifications. Based on the scope of the project, may be required to attend scheduling and coordination meetings, prepare daily inspection reports, prepare letters and emails, take and manage digital photos.


  1. General background in construction means and methods.
  2. Understanding of roofing and waterproofing methods, practices and techniques, materials and equipment.
  3. Familiarity with procedures for submittals, answering RFI’s and tracking change orders.
  4. General knowledge of standard contracting practices and procedures.
  5. General knowledge of health, safety and environmental requirements.
  6. Ability to keep daily inspection logs.
  7. Experienced with Outlook, Word and Excel
  8. Hands on experience a plus


Candidates must have advanced technical knowledge and familiarity with waterproofing system design and installation in commercial, industrial and multi-family buildings and construction means and methods. Experience in EIFS and other building envelope system is a plus. Although not required, 2 to 4 year college level education, a degree in architecture, civil engineering or a very closely related field, and/or hands-on general construction experience would be a plus.

Marketing Coordinator Responsibilities

  • Assist with preparing and proofreading various marketing content and collaterals
  • Prepare various RFQ/SOQ packages as necessary in a timely manner and with an eye for detail
  • Assist with preparation of various seminars/presentations
  • Assist with preparation for and attend various virtual and in-person events (safety permitting)
  • Manage the Marketing Calendar and follow up on events
  • Assist with managing the Marketing inventory
  • Actively manage and grow various contact lists and work on lead generation.
  • Conduct market research and identify trends
  • Willing to do Marketing data analytics
  • Website analytics and minor updates


Marketing Coordinator requirements are:

  • Outstanding skills in communication, presentation, and research
  • Ability to customize existing generic content for specific clients/projects
  • Eye for detail, editing, and critical thinking skills
  • Familiarity with writing RFP/RFQ documents and technical collateral
  • Proficiency in Microsoft Office Suite, Adobe Suite (particularly InDesign and Photoshop), Google AdWords, and web analytics.
  • Expert in traditional and digital marketing tools
  • Previous, proven work in a similar position, such as Marketing Coordinator.
  • BS degree in Marketing or related field preferred.
